WSU employs only U.S. citizens and aliens who are authorized to work in the U.S. As required by U.S. Citizenship and Immigration Services, Form I-9 is used for verifying the identity and employment authorization of individuals hired for employment. All new employees (citizens and non-citizens) must complete Form I-9 and present original document(s) that establish identity and employment authorization.
Section 1 of Form I-9 must be completed by the employee no later than the first day of hire. Employers must complete Section 2 by examining evidence of identity and employment authorization within 3 business days of the date employment begins (hire date). If Form I-9 is not completed within the required three business days of the date employment begins (hire date), the employee is not eligible to work until Form I-9 is completed.
If the employee does not have or does not wish to provide their social security number, Form I-9 may be completed using “pending” in place of the social security number.
If an I-9 re-verification is required, the employer must select “Add Section Three” option and add the “date of rehire” in Box B, Section Three. The re-verification must be completed within 3 business days of the date employment begins (hire date). If the re-verification is not completed within the required three business days of the hire date, the employee is not eligible to work until the re-verification is completed or a new Form I-9 is completed.
If a notice of I-9 Expired or Duplicate I-9 has been received, contact HRS for assistance. Refer to BPPM 60.04 – Employment Eligibility Verification–USCIS Form I-9 or contact Human Resource Services for additional information.
It is the responsibility of department personnel to complete Form I-9 within the required time frame. Failure to properly complete Form I-9 as required by law, may lead to penalties and fines to the institution and individual responsible for completion of the forms.
