Request for responses to WSU Information Technology e-mails on dual mailboxes

WSU Information Technology Services is ramping up the migration of WSU mailboxes from the On-Premise Exchange to Office 365 Mail. The first set of batches have been kicked off.

One complication we are facing is the issue of Dual Mailboxes – these are situations where people have both an On-Premise Exchange Mailbox (connect.wsu.edu – usually for faculty/staff) and an Office 365 Mailbox (email.wsu.edu – usually for students).  These situations came about when Students were hired at WSU, or WSU Employees took some classes.

We have about 2881 people with dual mailboxes.  We have sent E-Mails to all of these over the past few months and have received replies from (or some sort of resolution for) all except 800 or so people.  We are sending out reminders to these 800 to respond to our questions on how they wish to handle their dual mailboxes – we are asking them to reply by Thursday, April 20.  Those that do not reply we will indicate in the E-Mail the default action we will then take (either to delete their Office 365 Mailbox or to delete their On-Premise Exchange Mailboxes, depending on where it appears their mail is going now).  If that is not what they wish to happen they need to respond by this coming Thursday.

Of those that have responded, over 85% have indicated we can just delete their Office 365 Mailbox.

We recognize this change may be confusing to some, and also recognize that people have become inured to what may look like Phishing E-Mails.  Nevertheless, this project is moving forward and we need to obtain responses or we will take the default actions.  To differentiate them from Phishing attempts, our E-Mails are structured to not contain any active URL Links or requests for personal or account information, only that they reply with their choice.

Please assist us in getting the word out to people that this is not a Phishing attempt and we need their response ASAP. Thank you.
