General Reminders on Time and Leave Controls

Managers should ensure departments have sufficient controls and communication lines in place to ensure that all time worked, and any time off taken is recorded in Workday timely and accurately.

  • OT Eligible
    • Submit time worked and time off in Workday by each pay period
    • Overtime should be authorized by supervisors before being worked and approved timely once submitted by employee
  • OT Ineligible
    • Submit time off by each pay period to be reviewed and approved by supervisor
  • Time Approvers
    • Approve time worked and time off every pay period
    • Hours submitted as worked must not be approved until actually worked

Department administrators are advised to run reports through Workday that capture time worked, time off, and relative submissions and approvals.

If employees also track time worked and time off in Outlook or other departmental calendars, the entries should be reconciled. Ensuring all records tie promotes accountability and provides for greater ease of review in the event time as recorded is questioned (or audited).
