Important finals proctoring guidelines for faculty

test-taking-80PULLMAN, Wash. – The Access Center staff at Washington State University will proctor final exams between 7:30 a.m. and 9 p.m. next week. The center’s proctoring staff has issued these guidelines for faculty who will have their finals proctored:

1. Send or bring final materials and the required proctor form (PI) at least one full business day before each final. Indicate all proctoring instructions on the PI – none in a cover email. The 2014 spring proctor instruction form can be found on the website http://AccessCenter.wsu.edu; click on the red circle on the right.

2. For Monday finals, send or bring materials no later than 3 p.m. Friday. Or phone 335-8079 Saturday or Sunday noon- 5 p.m. and staff will meet you at the entrance door. We must know materials will arrive no later than 5 p.m. Sunday.

3. Complete all information on the PI, which includes your confidential cell phone number. We must be able to reach you or a TA in case of a student question or other proctoring issues.  Please have your phone on vibrate while your class is tested.

4. If the final exam is more than six pages and you expect a large number of students to test at the Access Center, please prepare paper copies of the exam and deliver to the center.

5. If you need to make a change or correct an error, email updates and phone 335-8079 to alert staff about the incoming email. The center will have a huge volume of incoming emails and an emailed update will likely be overlooked. We must receive an alert call to look for the email and prepare a correction for students testing at the center.

6. If your students are allowed to use extra resources such as a calculator, be specific regarding what type of calculator – graphing, 4-function, scientific, etc., or indicate “Any calculator.” If no specific type is indicated, center staff will allow whatever calculator a student brings.

7. Scan and email return of completed finals is not available. You may request Campus Mail, but only for exams completed on Monday or Tuesday.  All other finals will be held for pick up between 8 a.m. and 8 p.m. Please call 335-3417 if you arrive after 5 p.m. and find the main door locked.

8. If approved, are note sheets:
a. Required to be handwritten or typed?
b. How many sheets allowed and what size (3×5, 4×6, 8½x11)?
c. Is scratch paper allowed? This is always provided by the center.
d. Must notes be returned to you?
